Key Responsibilities:

  • Provide secretarial duties:
    1. scheduling of both internal and external meetings
    2. taking of minutes
    3. consolidating of staff timesheets and reporting
    4. arranging staff and subcontractors for security clearance
  • Raising purchase requisitions and follow up with vendors on order confirmations and delivery dates
  • Provide administrative support in progress claim submissions and billings.
  • Ensure the smooth processing, documentation and follow up with Purchase Requests and Purchase Orders
  • Ensure timely and accurate execution and proper documentation of Sales Orders
  • Assist the Project Manager in putting up monthly progress claim to Customers.
  • Assist the Project Manager in preparing and submission of monthly Progress Report to Customers.
  • Attend and assist to take down notes of meeting and route for all parties for approval.
  • Ensure proper filing of project documentation in accordance to Standard Operating Procedures of the Company

Requirement:

  • Possess at least a Diploma in Commerce / Business Administration or its equivalent
  • At least 3 years of administrative experience in an Engineering Services company
